Work a Fresh Lead Through to First Deposit

Goal: Take a brand-new lead from first assignment all the way to a confirmed, manager-approved deposit. Who does this: Agent Sales Manager Before you start: Lead sources, pools, stages, deposit types, and deposit methods must already be configured. If any are missing, ask your manager to complete the setup first — see Set Up Your Sales Process.

Steps

  1. Sales Manager Assign the lead to an agent. Go to Leads → Assign, select the employee, choose the relevant Lead Pool, and check the box next to the fresh lead. Click the assign button. See Assigning and Unassigning Leads.

  2. Agent Find the lead in your dashboard. Go to Leads → General and click Fresh Leads to filter to newly assigned leads. Click the lead's name to open their profile.

  3. Agent Review the Lead Summary. The first tab shows contact details, the campaign or Lead Source they came from, and their current Lead Stage. Read through this before making contact.

  4. Agent Make contact and log the call. Use the quick-action buttons (📞 Call, 💬 WhatsApp, ✉️ Email) at the top of the profile. After the call, record the outcome by applying a Lead Call Tag (e.g., Answered, No Answer, Callback Requested). Add a note in the Comments section with a summary of the conversation.

  5. Agent Set a follow-up date. Use the Follow up date action to schedule your next contact. The lead will appear in your Show Follow Ups filter on that day so it doesn't fall through the cracks.

  6. Agent Advance the lead stage. As the conversation progresses, use Set Lead Stage to move the lead forward (e.g., NewContactedInterested). See Lead Stages.

  7. Agent Apply relevant tags. Use Set Tags to label the lead (e.g., Interested, High Priority). Note: tags marked as non-modifiable will generate a Data Change Request for manager approval before they are applied. See Lead Tags.

  8. Agent Record the deposit. When the lead is ready to fund their account, open their profile and click Create a Deposit. Select the Deposit Type and deposit method, enter the amount, and submit. The deposit is queued for manager approval — it is not finalized yet.

  9. Sales Manager Approve the deposit in Lead Transactions. Go to Lead Transactions in the sidebar. Find the pending deposit, review the details, and click Approve (or Reject with a reason). See Lead Transactions.

What happens next

Once approved, the deposit is recorded against the lead and the transaction is finalized. The lead's profile will reflect the confirmed deposit in its activity history. If the lead is also a registered customer, the deposit feeds into the Finance view under Finance → Deposits.

To verify: open the lead profile and confirm the deposit appears in the timeline/activity section. In the Lead Transactions queue, the status should have moved from Pending to Approved.
