Bulk Import Leads

Goal: Upload a formatted Excel file to add multiple leads at once, then review the result to catch and fix any errors before they reach your agents. Who does this: Sales Manager Before you start: You need access to Leads → Upload. The Lead Pools and Lead Sources you want to assign must already exist — create them in Leads → Admin Settings first (see Set Up Your Sales Process if you haven't done this yet).

Steps

  1. Sales Manager Download the sample file. Go to Leads → Upload and click the Excel button to download the official template. You must use this exact format — columns in the wrong order or with different headers will cause import errors.

  2. Sales Manager Prepare your data. Fill in the spreadsheet with your lead records. For each lead, include the required fields shown in the template. Note the Lead Source column — enter the exact name of an existing source so the system can match it.

  3. Sales Manager Upload the file. Click the Upload button on the Leads → Upload page. In the pop-up, select your completed Excel file and confirm. See Uploading Bulk Leads for details.

  4. Sales Manager Review the validation tabs. After upload, the system splits results into three tabs:

    • New Leads — successfully imported; these are now in the system.
    • Existing Leads — duplicates already on file; no action needed.
    • Incomplete Leads — rows with errors; the reason is shown next to each row. Fix the source file and re-upload only the failed rows.
  5. Sales Manager Assign imported leads to a pool. Newly imported leads are unassigned until you move them. Go to Leads → Assign and follow the Assign, Reassign, and Unassign Leads playbook to distribute them to the correct Lead Pool and agents.

What happens next

Successfully imported leads appear in the leads list and are ready for agents to work. Leads in the Incomplete Leads tab are not created — fix the errors and re-upload to include them.
