Process a Deposit End to End
Goal: Take a deposit from the agent recording it, through manager approval, to the Finance team confirming receipt and reconciling the ledger. Who does this: Agent → Sales Manager → Finance Before you start: Deposit types and deposit methods must already be configured in TR Settings. See Deposit Types. If the dropdowns in the deposit form are empty, ask your manager to set them up first. For the agent-only view of this flow, see Raise a Deposit on a Lead's Behalf.
Steps
-
Agent Open the lead profile and click Create a Deposit. Go to Leads → General, find the lead, and click their name. In the profile's action area, select Create a Deposit.
-
Agent Fill in the deposit details and submit. Select the Deposit Type (the category used for reporting), the Deposit Method (how funds were sent — e.g., Credit Card, Bank Transfer), and enter the amount. Add relevant notes or a payment reference, then click Submit. The deposit is now queued for approval — no funds are moved yet. See Deposit Process.
-
Sales Manager Review and approve in Lead Transactions. Navigate to Lead Transactions in the sidebar. Find the pending deposit, review the amount and method, and click Approve (or Reject with a reason). No funds are credited until this step is complete. See Lead Transactions.
-
Finance Locate the deposit in the Finance queue. Navigate to Finance → Deposits. The approved deposit appears in the queue with status Pending or Processing. Open it to see the full details: customer, amount, method, and the wallet to be credited. See Deposits & Withdrawals.
-
Finance Verify and confirm the deposit. Check the payment details against any proof of payment attached. Confirm the correct wallet is selected. Click Approve to credit the customer's wallet — the balance updates immediately and the customer receives a notification in their portal.
-
Finance Reconcile in the Transaction Ledger. Navigate to Finance → Transactions to confirm the deposit appears in the unified ledger with status Completed. Use the search and filter tools to find it by customer, transaction ID, or date range. Export to CSV/Excel if needed for accounting reconciliation. See Transfers & Transactions.
What happens next
The lead's profile reflects the confirmed deposit in its activity history. The Finance transaction ledger is the single source of truth — the completed record shows the amount, currency, deposit method, processing employee, and full status history (Pending → Approved → Completed).
To verify: open the lead profile and confirm the deposit appears in the timeline. In Finance → Transactions, filter by customer and confirm the status is Completed and the wallet balance is updated.
