Process a Withdrawal End to End
Goal: Take a withdrawal request from the agent recording it, through manager approval, to the Finance team executing and reconciling the payout. Who does this: Agent → Sales Manager → Finance Before you start: Withdrawal types and methods must already be configured in TR Settings. See Withdrawal Types and Withdrawal Methods. If the lead does not yet have a withdrawal account (bank account, e-wallet, etc.) on file, the agent must create one before recording the withdrawal.
Steps
-
Agent Set up the lead's withdrawal account (first time only). Open the lead's profile and use the Create an Account for Withdrawal action to record the destination account details (e.g., bank account number, e-wallet address). This step is only needed once — subsequent withdrawals can reuse the saved account.
-
Agent Record the withdrawal. In the lead's profile, click Create a Withdrawal. Select the withdrawal method and type, enter the amount, and submit. The request is now queued for manager approval — funds have not moved yet. See Withdrawal Types and Withdrawal Methods.
-
Sales Manager Review and approve in Lead Transactions. Go to Lead Transactions in the sidebar. Find the pending withdrawal request, review the amount and destination details, and click Approve (or Reject with a reason). No funds move until this step is complete. See Lead Transactions.
-
Finance Locate the withdrawal in the Finance queue. Navigate to Finance → Withdrawals. The approved withdrawal will appear in the queue with status Pending or In Review. Open it to see the full details: customer, amount, method, and destination. See Deposits & Withdrawals.
-
Finance Execute the payout. Verify the customer has sufficient wallet balance and that the destination details match the withdrawal account on file. Process the payment through the appropriate external channel (bank transfer, e-wallet, etc.). Once funds are sent, mark the withdrawal as Completed in the Finance view.
-
Finance Reconcile in the Transaction Ledger. Navigate to Finance → Transactions to confirm the withdrawal appears in the unified ledger with status Completed. Use the search and filter tools to find it by customer, transaction ID, or date range. Export to CSV/Excel if needed for accounting reconciliation. See Transfers & Transactions.
What happens next
The lead's profile reflects the completed withdrawal in its activity history. The Finance transaction ledger is the single source of truth — the completed record shows the amount, currency, processing employee, and full status history (Pending → Approved → Completed).
To verify: open the lead profile and confirm the withdrawal appears in the timeline. In the Finance → Transactions ledger, filter by the customer and confirm the status is Completed.
